Gig Editor Role
Give band members access to view and manage gigs without full WordPress admin access.
What is a Gig Editor?
A Gig Editor is a WordPress user with a restricted role that gives them access to the Gig Diary section of the WordPress admin — and nothing else. It’s designed for band members who need to check upcoming gigs, view setlists, or update availability, without being able to access or change anything else on your website.
Creating a Gig Editor user
- Go to Users → Add New in your WordPress admin
- Fill in the username, email, and name fields as normal
- Set the Role to Gig Editor from the Role dropdown — the Gig Diary fields will appear below once selected
- Set the Assigned Artist — select which artist this user can manage. For single-artist installs, leave this as the default first artist.
- Click Add New User
Assigning an artist
On the user profile page, a Gig Diary section appears whenever a user has the Gig Editor role. The Assigned artist dropdown controls which artist’s data the user can see and manage. On a single-artist install this will always be your one artist. On an Agency install you can assign different Gig Editors to different acts.
Magic login link
Each Gig Editor user has a Magic login link — a unique URL that logs them straight into WordPress without needing a password. This is ideal for band members who aren’t particularly tech-savvy and would struggle with a password login.
The link is shown on the user’s profile page under Users → [username]. Click Copy and send it to the band member — they can bookmark it on their phone for one-tap access.
What a Gig Editor can do
Gig Editors have access to the Gig Diary section of the WordPress admin only. They can:
- View upcoming and past gigs for their assigned artist
- View and print setlists
- View the songs library
They cannot access any other part of the WordPress admin — no posts, pages, plugins, theme settings, or other users.
